InformationStoke-on-Trent City Council (SOTCC) is seeking to procure the services of an Event Co-ordinator to organise heritage learning, interpretation and skills sharing activities in Burslem town centre. The events will take place as part of the Heritage Open Days in Burslem - from 10th to 13th September 2015. The Open Days theme for this year is “Do Something New”. The events will promote the work that has been carried out through the Burslem Building Improvement Scheme (BBIS) - a heritage building grant scheme financed by European Regional Development Fund (ERDF) and Heritage Lottery Fund (HLF). The events will contribute to key outputs from the scheme's audience development plan. An essential part of the programme is to deliver events/activities that enable community engagement and active participation in learning, understanding and contributing to conservation in Burslem. We invite tenders for delivery of the following (Closing date and time for tenders: Wednesday 29th July 2015, 16:00pm): Co-ordinator key areas of delivery/responsibility: To co-ordinate and deliver events to take place in Burslem during the Heritage Open Days (September 10th to 13th), namely: • Organisation and procurement of a presentation and leaflet with the theme of Living and Working in a Conservation Area. • The presentation and leaflet should cover key advice on building management, maintenance and the responsibilities of owning a property in a Conservation Area. • Liaise with local businesses or individuals wishing to participate or contribute to Heritage Open Days events in Burslem. General Responsibilities: The Event Co-ordinator will market, procure services, liaise with venues, prepare, design, timetable, deliver, and measure the impact of events (against the aims of the audience development plan) as part of the 2015 Heritage Open Days in Burslem. The co-ordinator will provide contact details to organise and take bookings for the events. The co-ordinator will produce a report summarising the event activities (including photographic record), detailing attendance figures, audience/participant feedback - and other relevant data. The co-ordinator will attend all events, carrying out risk assessments and recording details of attendees. The co-ordinator will work with SOTCC to maximise opportunities for promotion of the BBIS and to ensure that promotional materials are prominent and present at all events, clearly acknowledging the funders of the scheme (ERDF, HLF and SOTCC) and advocating work done through the scheme. The co-ordinator will ensure that health and safety policies are understood and observed at the events. The co-ordinator will carry out their own time planning and administration. The co-ordinator will manage all relevant aspects of the budget quoted in the tender, negotiating and agreeing prices and arranging payments for performers, service providers, venue hire, refreshments etc. The co-ordinator will invoice SOTCC upon delivery of the programme of events and subsequent reporting as stated. Experience: The co-ordinator must have relevant experience in event management, preferably have previous experience with heritage-focussed event management and familiarity with Burslem's built heritage would be an advantage.
