InformationSpecification Stoke-on-Trent City Council (SOTCC) is seeking to procure the services of an Event Co-ordinator to organise a number of heritage learning, interpretation and skills sharing activities in Burslem town centre. The events will take place as part of the Heritage Open Days in Burslem - from 11th to 14th September 2014. The events will promote the work that has been carried out through the Burslem Building Improvement Scheme (BBIS) - a heritage building grant scheme financed by European Regional Development Fund (ERDF) and Heritage Lottery Fund (HLF). The events will contribute to key outputs from the scheme's audience development plan. An essential part of the programme is to deliver events/activities that enable community engagement and active participation in learning, understanding and contributing to conservation in Burslem. We invite tenders for delivery of the following (Closing date and time for tenders: 30th July 2014, 16:00pm): Co-ordinator key areas of delivery/responsibility: To co-ordinate a series of events to take place in Burslem during the Heritage Open Days (September 11th to 14th), including: •Organisation and procurement of a Heritage of Retail in Burslem walk/tour/presentation - to consider Burslem's commercial past, its future - and why a scheme to restore the town's historic fabric is important. •Organisation and procurement of an historic tour of The Leopard Hotel, highlighting one of the major beneficiaries of the scheme. •Organisation and procurement of an historic presentation to teach people about, and to draw attention to, the façade of the Wedgwood Institute. •Organising and procuring an event with the Titanic Brewery and the Bull's Head public house. •Co-ordinating an event at the Kilnworx Climbing Centre. General Responsibilities: The Event Co-ordinator will market, procure services, liaise with venues, prepare, design, timetable, deliver, and measure the impact of events (against the aims of the audience development plan) as part of the Heritage Open Days in Burslem. The co-ordinator will provide contact details to organise and taking bookings for the events. The co-ordinator will produce a report summarising the event activies (including some photo evidence), detailing attendance figures, audience/participant feedback - and other relevant data. The co-ordinator will attend all events, carrying out risk assessments and recording details of attendees. The co-ordinator will work with SOTCC to maximise opportunities for promotion of the BBIS and to ensure that promotional materials are prominent and present at all events, clearly acknowledging the funders of the scheme (ERDF, HLF and SOTCC) and advocating the work done through the scheme. The co-ordinator will ensure that health and safety policies are understood and observed at the events. The co-ordinator will carry out own time planning and administration. The co-ordinator will manage all relevant aspects of the budget quoted in the tender, negotiating and agreeing prices and arranging payments for performers, service providers, venue hire, refreshments etc. The co-ordinator will invoice SOTCC upon delivery of the programme of events and subsequent reporting as stated. Experience: The co-ordinator must have relevant experience in event management, preferably had previous experience with Heritage Open Days, and familiarity with Burslem's building heritage would be an advantage.
