How we use your data

When you come into contact with your elected ward councillor within Stoke-on-Trent, they will collect, record, process and retain the following information about you or your connection with them. (such as personal details and connected information, such as casework enquiries, departmental service requests and matters within the city).

In order to progress matters, they will have to discuss or share details with officers in the city council or representatives of other external organisations who may be deemed to be interested parties in the case you are reporting.

Councillors act:

  • as an elected member of the city council
  • on behalf of their political party 
  • (and with regard to their data controller personal responsibility) on behalf of ward residents to progress enquiries

Councillors use this data to:

  • progress ward work reported by a constituent and any personal or sensitive information may be passed on to the relevant service areas
  • to consult with officers of the city council to gain an update in relation to their ward
  • to discuss issues with local policing for update/resolution in relation to their ward
  • approve ward budget applications and pass for financial processing

We may share data with our internal audit team to evaluate the effectiveness of the organisation’s risk management, control and governance processes.  We may also share your data with the council's fraud team to help to prevent and detect fraud.

This information is able to be collected, held and used for these purposes under the Local Government Act. 

Councillors may wish to send you information about ward news and events, but will not use your contact details to do this unless you have said that you would like to be sent this information.

If you have said that you would like this information, but later change your mind, you have a right at any time to let us know if you no longer wish to be send this information. If you wish to receive or stop receiving this information, let us know.

If you wish to see any information that members hold about you, want them to update or correct any personal information held about you, or if you have any queries regarding personal data held, contact the councillor.
