How we use your data

The communications team holds data on individuals:

  • if you have signed up for the Stay Connected/GovDelivery/Granicus email updates (we will have your email address and the answers to any questions you have chosen to answer which will help us to only send you emails which are relevant to you)
  • if you are a member of the press or have contacted us with a press enquiry, we will have your name, email address, name of the organisation you are representing
  • if you have been a case study for use in one of our press releases or media opportunities, we will have your name, contact details (email address, telephone number, address), age and any personal details relevant to the subject being promoted or discussed and sometimes a photograph or video footage
  • if you have contacted us about an event or programme we are running, or volunteering at or attending one of our events, we will hold your name, contact details and any information relevant to that project
  • if you have been the subject of a photograph or video content, you will have been asked to complete a photographic consent form, which asks you to tell us where we can use them (such as in print, online, social media).

We are able to use these because you have given us permission at the time of contacting us. 

Your data is stored on the council’s secure hard-drive (O:drive), in emails and, in the case of Stay Connected/GovDelivery/Granicus updates, on the Granicus email bulletin administration system.

Data protection law provides you with certain rights, but not all of these rights will be available to you in all situations. Where we are under a legal duty to use data for a particular purpose you will not have the right to prevent it being used in that way.

  • you can ask to see the information we hold about you
  • you can ask what is being done with the information we hold about you
  • you can ask to have some of the data we hold about you deleted
  • you can ask us to review a decision made about you by a computer, and ask for a new decision to be made by a person
  • you can ask us to stop processing the data we hold about you
  • you can ask us to make changes to data about you that you believe is inaccurate
  • in some circumstances you can ask us to help you move your information to another organisation
  • you can ask us to restrict or limit what we do with your data, for example if you believe the data we hold is inaccurate, or if you believe the processing in unlawful

We may share data with our internal audit team to evaluate the effectiveness of the organisation’s risk management, control and governance processes.  We may also share your data with the council's fraud team to help to prevent and detect fraud.
